Your data on RiQ: hosting, export and GDPR.
Your fleet, customers, rates and hire history are the heart of your business, so here are straight answers on where RiQ (pronounced “Rick”) keeps them and what UK GDPR expects. Where a term isn’t confirmed yet, this page says coming soon rather than guessing.
Where your data lives
RiQ is fully cloud-based. Nothing is installed on your premises and there are no servers for you to run: you and your team sign in from a browser. RiQ data is hosted in Europe, on Google Cloud.

UK GDPR: who is responsible for what
The ICO explains that a controller decides the purposes and means of processing personal data, and a processor processes it on the controller’s behalf. A controller is responsible for complying with UK GDPR and must be able to show it; a processor has more limited responsibilities. As a hire company, you decide why and how you use your customers’ details, which is what a controller does.
- Controller: decides why and how personal data is used
- Processor: processes it on the controller’s behalf
- The controller carries the main compliance duty

What UK GDPR says the contract must cover
Article 28 of UK GDPR says a controller must use only processors that give sufficient guarantees, and that processing by a processor must be governed by a binding contract. That contract must say, among other things, that at the end of the service the processor deletes or returns all the personal data, at the controller’s choice. RiQ’s data processing terms are coming soon.
- Sufficient guarantees from any processor you use
- A binding written contract with each processor
- Data deleted or returned at the end, at your choice
- RiQ data processing terms: coming soon
Ownership and export: coming soon
RiQ’s terms will set out who owns the data in your account and how you take a copy of it with you. They aren’t published yet, so we won’t guess at them here. Ask us before you sign up, and we’ll tell you where they stand.

Before you switch from any system
Whatever you use today, read your current contract early for notice periods and how you get your data out, and keep your own copy of the records you rely on before you change anything.
